Operate a Single-Source Platform

A mid-sized company with few content licenses, a research staff accessing content on a self-service basis and no reproductive rights licenses came to Infotrieve seeking a single-source platform that would centralize its information services and support functions while ensuring compliance with copyright requirements.

Internal content had not been utilized across the organization, and being decentralized made it impossible to track and audit copyright compliancy. This resulted in the same journals being purchased by multiple departments and increased external document delivery fees. The rights associated with publisher agreements were not known by all users, further increasing external document delivery fees. User functionality was complicated by the need for each individual to complete multiple steps to access internal electronic logon to publisher websites by entering username and password and further drilldown to articles of interest. Finally, management needed combined usage reports to gain a complete understanding of needs and to evaluate and possibly revise some of the procedures.

To address these needs, Infotrieve provided a technology solution that automated and centralized the client's document sourcing and delivery that was utilized by all departments, divisions, sites and affiliates. Sites were able to customize their notification templates, reports, etc., as best fit their different user groups but were able to retain a one-solution approach. E-content was accessible quickly and simply, with immediate availability, down to the article level. Infotrieve further provided rights management capabilities, copyright-compliance auditing and a 360-degree view of content usage across the company.

The new system eliminated the practice of multiple journals being purchased by different departments, resulting in cost savings. The increased internal efficiency created a consistent, easy-to-use portal for research staff members by providing a single point of access to all their content licenses along with a vast collection of scientific, technical and medical content accessible on a pay-per-use basis.
